How we handle your information.
This notice explains what personal data A&K Vinyl Works collects through this website, why it is used, who helps us process it and the choices you have.
A&K Vinyl Works is the controller of personal data collected through this website. For privacy questions or requests, contact akvinylworks.be@gmail.com.
Information we collect
When you send an enquiry, we collect the information you choose to provide so we can understand and respond to your request.
- Your name and email address.
- Your selected service and relevant event details, such as event date and location.
- Mirror, delivery, collection, wording, font, layout and styling preferences that you submit.
- Reference images that you choose to upload.
- Technical and security information needed to operate and protect the website, including information processed by Cloudflare Turnstile to distinguish genuine visitors from automated traffic.
Why we use it
We use enquiry and booking information to respond to your request, check availability, prepare or provide the requested service, communicate about your enquiry and maintain the security of the website.
Legal bases
Where you ask us about a service or proceed with a booking, processing is necessary to take steps at your request before entering into a contract and, where applicable, to perform that contract. We also process limited technical and security information where necessary for our legitimate interest in protecting the website, preventing abuse and keeping our systems secure.
Who processes the data
We use service providers to host the website, store enquiries and reference images, and protect the enquiry form.
- Netlify hosts the website and runs the server functions that receive and validate enquiries.
- Supabase stores enquiry records and uploaded reference images and provides authentication for the private admin area.
- Cloudflare Turnstile provides bot and abuse protection. Cloudflare states that Turnstile processes security signals needed to distinguish visitors from bots and does not access or transmit the contents of your form entries.
- Google Fonts supplies fonts used by the website. Your browser makes requests to Google to retrieve the font stylesheet and font files.
These providers operate their own infrastructure and may process technical data in locations outside Belgium or the European Economic Area. Where international transfers occur, they are subject to the safeguards and transfer mechanisms applicable to the relevant provider and service.
How long we keep it
We keep personal data only for as long as it is needed to deal with your enquiry, provide the requested service, maintain appropriate business records and meet applicable legal obligations. Reference images and enquiry details that are no longer needed should be deleted or anonymised.
Security
We use technical controls including private storage for reference images, restricted database access, administrator multi-factor authentication, server-side enquiry validation and Cloudflare Turnstile. Access to enquiry information is limited to the A&K Vinyl Works admin area.
Your data protection rights
Depending on the circumstances, GDPR rights can include access to your personal data, correction of inaccurate data, erasure, restriction of processing, data portability and objection to processing based on legitimate interests.
To exercise a right, email akvinylworks.be@gmail.com. We may need enough information to verify that the request relates to you.
If you believe your personal data has been handled unlawfully, you also have the right to contact or lodge a complaint with the Belgian Data Protection Authority.
Cookies and similar technology
This website does not currently use advertising or analytics tracking. Cloudflare Turnstile may use browser storage or related technical mechanisms where necessary to provide its security function. The private admin area also uses Supabase authentication to maintain administrator sign-in state.
